Free quote and invoice generator for UK trades

Create professional, fully itemised PDF quotes and invoices in under 60 seconds. No registration or account needed.

A price the customer can check is a set of lines. Labour, materials and the extras you expect them to agree each need their own row, on a quote before the work and on an invoice when you want paying.

Built Specifically for UK Trade Professionals

  • Quote or Invoice: Choose Quote while you are still pricing the job and the customer has not agreed. Switch those same lines to Invoice when the work is done and you want paying. The PDF heading follows that choice.
  • Lines They Can Check: Give every row a description, a quantity and a rate, with labour on one line and the materials you are charging on another.
  • VAT at 20%: Tick Add VAT when you are VAT registered and the rates you typed are net. The PDF adds 20% and shows the net, the VAT and the gross. Leave the box off when you are not registered.
  • A Page for the Job: Each trade has its own notes under the form. An electrician’s page names the board and the certificate. A plumber’s names the boiler and the flue. A decorator’s names the prep, then the finish.

Fill out the form, generate your quote or invoice, and download a clean PDF directly to your device. Your data is never saved or tracked.

Free quote and invoice template for UK trades

Pick Quote or Invoice at the top of the form. The lines stay in the order you type them: a description, a quantity and a rate. Leave the unit blank and the PDF calls the row a lot.

Tick Add VAT when the prices you entered are net and you are VAT registered. The PDF then shows the net, VAT at 20%, and the gross. Generate and download your PDF without creating an account. Your document is not stored.

When the same job starts as a message, Pencil for UK trades can draw that PDF in WhatsApp, so the lines are ready to send from the van.

What to include on a quote for UK trades

A readable quote names the work. These three lines are a pattern for any UK trade, before you open the page for the job you actually do.

  • Labour, with the days or hours. The time on site, written so the rate is visible.
  • Materials you are supplying. The kit named on its own line, beside the labour.
  • An extra the customer should agree. Certification, making good, or a return visit, priced before you start.

Frequently asked questions

Is this quote and invoice generator free?
Yes. A UK sole trader can build a quote or an invoice, add as many lines as the job needs, and download the PDF with no account and no limit. Your document is not stored.
How should I show VAT on the PDF?
If you are VAT registered, type net rates and tick Add VAT. The PDF adds 20% on top and shows it as its own figure. If you are not registered, leave the box off and the total is the sum of the lines. If a price already includes VAT, leave the box off as well.
When do I choose Quote, and when do I choose Invoice?
Choose Quote while you are pricing the work and the customer has not agreed. Choose Invoice when the job is done and you want paying. Both use the lines you enter. The heading on the PDF follows that choice.
Which page should I use for my trade?
This form works for any UK trade. Open your trade’s page when you want example lines for that job, such as a board change, a boiler swap, or a hall, stairs and landing.
