Free quote and invoice template for builders

Use Quote for the extension, the alteration or the labour days before the customer has agreed, and before you order materials or book a skip. Use Invoice when a stage is finished and you are billing the days and the materials already used. The same rows become either document. Only the heading on the PDF changes, which is why this page is both the builder quote template and the builder invoice template.

Tick Add VAT on building work only when the day rate and the materials are net and you are VAT registered. The PDF adds 20% on top and shows net, VAT and the gross. Leave it off if you are not registered. Do not tick it if the figure you agreed on site already includes VAT. Your document is not stored.

What to include on a quote for UK builders

A builder’s quote is readable when labour, materials and the extras around the build are separate. These lines are an example of extension labour, not a schedule of rates.

  • Labour, priced by the day. The days on site, not folded into a lump called building works.
  • Blocks, lintels, sand and cement supplied by you. Left off entirely if the customer or another trade is buying them.
  • Skip and muck away. Named, so disposal is not assumed to be inside the labour.

Is this builder quote and invoice template free?

How do I add VAT to a builder’s day rate and materials?
Type the net day rate and the net cost of the blocks, the steel or the skip, then tick Add VAT. Twenty percent is added on top. If the customer’s price was agreed including VAT, leave the box off and type the gross figures instead.
Should a builder’s first visit be a quote or an estimate?
A measured extension with the spec already chosen can be a quote. Opening up a floor, a wall you have not seen the bearings of, or a provisional sum for finishes the customer has not picked, is an estimate until those are real. Pick the heading that matches what you will stand behind.
Where do scaffold, a steel and a provisional sum go?
On their own lines, next to the labour. If the customer is supplying the kitchen, the windows or the bricks, say so in the job title and leave those sums off. A total that hides who bought the materials is how a building invoice gets disputed at the end of the stage.
