Pencil Assistant

For UK trades

How UK trades can use AI

You did not go into the trade to spend the evening on WhatsApp. The customers still message at half ten in the morning, and the quote still sits there on Sunday.

Most people who try to fix that open ChatGPT, Gemini or Claude, describe the job, and copy an answer back. That can help you write. It does not run the day. This guide is the difference.

What it actually means

It does not mean a robot fits the kitchen. It means the message, the diary, and the paperwork — the work that usually waits until you are finished. You are still the one who turns up and does the job.

On a building site, “using AI” almost always means one of the general chat assistants. You are in the van, the customer has sent four photos and “are you free Thursday?”, and you open a second app to ask it what to say. Sometimes the draft is better than the one you would have thumbed out with wet gloves. Sometimes it is a price for a job it has not seen.

The useful question is not which logo is cleverest. It is whether you are still the person doing the admin, just with a faster notebook. If you have to stop, explain the job, check the answer, and paste it back into WhatsApp, the evening has only got shorter. It has not gone away.

What AI actually means for a UK trade

ChatGPT, Gemini and Claude

These three are the ones trades actually name. They are general assistants. You go to them. They are good at language. They are not your diary, your merchant account, or the thread the customer is waiting in.

ChatGPT

OpenAI. The one most people mean by “AI”.

A chat on your phone or a laptop. Strong at a first draft: a reply, a plain description of the job, a list from a rambling voice note. You type the situation in, it writes back, and you copy what you trust into WhatsApp. It does not know you are already booked in another town unless you tell it.

Gemini

Google. At home in Gmail, Docs and Drive.

If the quote already lives in a Google Doc, Gemini can work on that document instead of a blank box. Most sole traders are not running the business from Docs. The enquiry is a WhatsApp, and Gemini does not see it until you carry it across.

Claude

Anthropic. The one for a long document.

Useful when you already have a specification, a long thread, or a quote that has turned into pages of exclusions. Paste it in and ask what they actually asked for. You are still sat down doing that, and the customer still does not see the answer until you send it.

ChatGPT is the widest everyday draft. Gemini matters if your paperwork is already in Google. Claude matters when the thing you are holding is long and you want it read carefully. Copilot is the same shape inside Microsoft’s apps, if that is where you work. For a van and a phone, the practical difference is small: which window you copy out of.

None of them answers the customer while you are on the tools. None of them books a visit around the drive. None of them turns the notes into a quote and an invoice as the job moves. That is a different job from writing a paragraph.

Pros and cons

Worth using a general assistant for your own thinking. A poor system for running the business, because the business is the bit they leave you holding.

Pros

  • A reply, a scope, or a chasing message drafted faster than a blank screen.
  • A messy note turned into a list before you forget what you meant.
  • A regulation or a term explained in plain English, so you know what to check.
  • Easy to try. You do not buy a new office to open one.

Cons

  • You stop work to use it. The lead sits in WhatsApp until you are free to type.
  • The answer stays in the chat box until you copy it back and send it yourself.
  • The photos, the sizes and the day they can do are missing unless you paste the thread in.
  • A suggested visit ignores the diary and the drive unless you have typed both in.
  • A tidy price is easy to get for a job the tool has not stood in front of.
  • The customer’s address and pictures of their house end up in a general chat, not on the job.

Read the cons as a description of the evening you already have. The thread, the day you can actually attend, and the quote that leaves the phone are the work Pencil does from WhatsApp, so you are not feeding a second app at 9pm.

The risks

ChatGPT, Gemini and Claude will all invent a price if you ask them to. They will sound like a call centre if you let them. They do not hold your ticket, and they have not seen the site. A customer who gets a wrong number does not argue with the software. They argue with you.

Keep compliance, the final price, and the days you cannot work in your own hands. Do not paste someone’s address and house photos into a random chat box because you were parked up.

The risks of using AI in a UK trade

The opportunities

The wins are ordinary. A reply while you are mid-job. A visit that fits the drive and the day you already sold. A quote from the notes you made, sent before the lead goes cold. An invoice the day you finish, not the Sunday you dread.

If it needs a weekend to set up, it is more admin. The opportunity is the hour you get back on a Tuesday night.

Where AI actually helps a UK trade

How Pencil works

Pencil is the AI assistant for UK trades on WhatsApp. Customers message as they do now. Pencil handles messages, plans and books visits, and turns notes into quotes and invoices. You stay on the tools.

It is not a laptop CRM and not a blank chatbot. The WhatsApp thread is the job. You are still responsible for the price you are willing to do the work for.

How Pencil works for UK trades

Messages

Pencil replies while you are on site, collects photos and job detail, and finds out when they can be in. The thread does not sit unread until whoever else answers first.

AI for trade messages on WhatsApp

Planning and booking

It checks the diary, allows for travel, and agrees a visit that you can actually make. Less phone tag. Fewer days where the van crosses town twice.

Planning and booking visits with AI

Quotes and invoices

Notes and voice messages become a quote you can send from the phone. When the job is finished, the invoice goes out. Sunday with the calculator is no longer the system.

FAQ

ChatGPT, Gemini or Claude — which should a trade use?
Use ChatGPT for everyday drafts, Gemini if you already work in Gmail and Docs, and Claude when you need a long document read properly. They help you write. They do not answer the customer, book the visit, or send the quote. That is what Pencil is for, on WhatsApp.
How can a UK trade use AI without learning new software?
Use it on WhatsApp, where the customers already message. Pencil handles the replies, the booking, and the quotes and invoices. You do not move the business onto a laptop.
What is the biggest risk?
A confident wrong price or a visit you cannot do. AI can draft and chase the admin. You still own the number and the diary.
