What a useful reply actually does
“I’ll get back to you” is how leads go cold. A useful reply says you have it, asks for the photo or the symptom, and finds out when they can do a visit. It sounds like a person who does the work, not a brochure.
- What the job is, in their words and then in yours.
- Photos and rough sizes before you have looked at the thread twice.
- When they are in, so booking is not a second conversation next week.
While you are on the job
You should not have to stop a first fix to be polite. Pencil keeps clients answered without interrupting the day, and it understands the trade well enough to ask the next question instead of “please advise.”
You still read the thread. You still decide if it is a job you want. The difference is the customer was not left on read while you were under a floor.
Not a script they have heard before
Trades lose work with stiff, identical replies. Pencil works from what they actually sent — the leak, the socket, the fence — not from a mail-merge. If the detail is missing, it asks. It does not paper over a vague enquiry with a fake price.

FAQ
- Will replies sound like me?
- They should sound like a straight tradesperson, tied to the job they described. You are not pasting a corporate template into WhatsApp.
- What if I am on holiday?
- The point of the assistant is the hours you are working, not a promise to cover every week of the year. Your diary still decides what can be booked.
